Henkels & McCoy is seeking a detail-oriented Executive Administrative Assistant - Shared Services to join our team of creators and problem solvers. The Executive Administrative Assistant will support the Executive Leadership Team by managing calendars, organizing meetings, processing expenses and drafting general communication. This role will liaise with internal staff at all levels and will be responsible for managing several processes for the Accounting, Finance and Fleet teams and supporting the business with various projects and initiatives.

 

Responsibilities

RESPONSIBILITIES:

  • Manage calendars and schedule meetings for Executive Leadership Team
  • Coordinate interview logistics and new hire onboarding
  • Prepare presentations and create PowerPoint decks for leadership
  • Draft internal communications and handle general correspondence
  • Process expenses, invoices, and journal entries for H&MSS and H&M Inc.
  • Run monthly bank statements and accounting reports
  • Maintain Finance, Accounting, and Procurement directories and SharePoint site
  • Organize monthly Lunch & Learns for Finance, Accounting, and Procurement teams
  • Oversee surety bond requests, renewals, tracking, and reporting
  • Provide administrative support for various projects and ad hoc tasks

Qualifications

QUALIFICATIONS:

  • Bachelor’s degree required
  • 5+ years of related experience
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
